At Studio Zolie we believe it is important that your personal data is handled carefully and confidentially. In this privacy policy we explain which personal data we collect, why we need it and how we handle it.
Studio Zolie is a pedicure practice based in Haarlem and is responsible for the processing of personal data as described in this privacy policy.
Do you have questions about this privacy policy or about the processing of your personal data? Please get in touch: Studio Zolie, Lorentzkade 26, 2014 CA Haarlem · sharona@studiozolie.nl · +31 6 13 41 95 60 (phone/WhatsApp).
When you book an appointment or use our services, we may process the following data: first and last name, phone number, e-mail address, address details (where necessary), date of birth (where necessary for the treatment), appointments and treatments, invoicing and payment details, information you provide to us yourself, information about your feet and the treatments carried out, and medical or health information where this is relevant for a safe and responsible treatment.
Health data is a special category of personal data. We handle it with extra care and confidentiality and only process it where there is a valid legal basis for doing so.
Studio Zolie uses your personal data only as far as necessary for our services. For example: making and managing appointments, carrying out pedicure treatments, keeping a treatment or client file, providing a safe and appropriate treatment, answering questions and staying in contact with you, sending appointment confirmations or reminders, handling payments and administration, complying with legal and administrative obligations, and improving our services.
We do not use your data for purposes other than those for which it was collected, unless this is legally permitted or necessary.
When you contact Studio Zolie via WhatsApp, the data and messages you send via WhatsApp are processed through WhatsApp/Meta. We therefore recommend that you do not use WhatsApp to send extensive medical information unless this is necessary.
Studio Zolie uses information from WhatsApp only to answer your message, to make or change appointments and for other necessary communication regarding our services.
For a pedicure treatment it may be necessary to ask for certain health information, for example about diabetes, medication, skin problems, wounds, allergies or other circumstances that may affect the treatment.
This information is used only where it is relevant for a safe and responsible treatment. We do not ask for or record more health information than necessary.
Studio Zolie processes personal data on the basis of one or more legal grounds under the General Data Protection Regulation (GDPR), such as: the performance of an agreement with you, compliance with a legal obligation, your consent (where consent is required) or a legitimate interest (where permitted under the GDPR).
Additional legal conditions apply to the processing of special categories of personal data, such as health data. Where your explicit consent is required, we will ask for it.
Studio Zolie never sells your personal data to third parties. We only share personal data where this is necessary for our services or where we are legally obliged to do so. This may concern, for example: our accountant or bookkeeper, suppliers of our accounting or appointment software, IT and software suppliers that process personal data on our behalf, a healthcare provider or other professional party where this is necessary for your treatment and a valid legal basis exists, and government bodies where we are legally required to do so.
Where necessary, we make arrangements with external parties that process personal data on behalf of Studio Zolie to protect this data.
We do not keep personal data longer than necessary for the purpose for which it was collected, unless a statutory retention period requires us to keep data longer. Administrative data, for example, may need to be kept longer because of tax obligations.
Data in a client or treatment file is kept for as long as necessary to provide a good service and for as long as legal obligations or retention periods require. When data is no longer necessary and no statutory retention obligation applies, it is deleted or anonymised.
Studio Zolie takes appropriate technical and organisational measures to protect personal data against loss, theft, unauthorised access, unwanted disclosure and unlawful processing. Only people who need access to data for their work are given access to it.
Under the GDPR you have various rights regarding your personal data. In certain circumstances you can: request access to your personal data, have it corrected or deleted, object to certain forms of processing, request that processing be restricted, withdraw your consent where processing is based on it, and request the transfer of certain personal data.
Please note that we cannot always comply with a request for deletion where we are legally obliged to keep certain data. Would you like to exercise one of these rights? Please contact us at sharona@studiozolie.nl. We may ask for sufficient information to verify your identity before handling a request.
